Otter.ai Custom Meeting Templates are powerful enhancements that make meetings and conversations more structured, customizable, and insightful. Customize the summary tab by applying an Otter-provided template or creating your own.
Meeting Templates Overview
Easily apply a template to generate automatic details, insights, and more for your conversations. Meeting templates can help streamline the process for conversations where you always apply the same process.
Templates are available on both the Workspace and account level.
- Workspace Templates - Available for all members in the Workspace to use. Workspace Templates can only be created by an admin.
- Personal Templates - Users can create personal templates to apply to conversations. Other Workspace members cannot access your personal templates but can view the content generated if you apply that template in a shared conversation.
Meeting Template customizations
Overview
A concise summary of the meeting’s essential details. Toggle ON or OFF to display or hide this section on the conversation’s Summary tab when applying the template.
Action Items
AI-detected tasks and responsibilities assigned to participants. Toggle ON or OFF to display or hide this section on the conversation’s Summary tab when applying the template. Otter will automatically generate and assign action items. Manually add additional action items anytime.
Insights
A detailed breakdown of key topics and points discussed. Insights can summarize the meeting discussions into actionable points, group important info into categories, and provide the key points up front. Insights are typically short one-line topics or questions with an output of a few bullet points. Toggle ON or OFF to display or hide this section on the conversation’s Summary tab when applying the template.
Add new insights to the template

Click New Insight at the bottom of the Insights section.

Fill out the Insight name and Prompt fields. Click Save when finished.
Tip: Don’t know what prompt to write? Try using Otter AI Chat to test out prompts. Once you have the desired output, you can edit or add the prompt to the template. -
The insight will be added to the template.

Make sure you click Publish or Update at the top of the template when finished to save your changes.
Edit or delete the insight
You can edit or delete the insight anytime by clicking the 3 dots next to the insight and selecting your action.

Edit
- Update the Insight name or Prompt anytime.
- To apply to a conversation, select the template again in the conversation.

Delete
- Delete the insight.
Outline
Automatically generated structured summary and a high-level overview of your meeting. Toggle ON or OFF to display or hide this section on the conversation’s Summary tab when applying the template. Click on any part of the Outline to go directly to the associated source in the transcript.
Custom Prompt
Full flexibility in defining the content and format you want from the meeting. Generate all types of content for post-meeting processes, such as sending an email of the meeting, translating the transcript to another language, creating the next meeting’s agenda, and much more. The possibilities are endless. Otter supports Markdown, so you can format your prompt and ensure the output reflects exactly what you need.

Rules
Set rules to automatically apply the template to matching meeting conditions. Set one or multiple conditions to match various meetings.

Create a new template
You can create a meeting template for the Workspace (admin only) or a personal meeting template to use for conversations. Meeting templates for the Workspace are accessible to all members to use in conversations.
Create a new meeting template for the Workspace (admin only)
You must be an admin to create a template for the Workspace. By default, all Workspaces will come with two preset templates provided by Otter: General and Sales templates.
- As the admin, click on your profile and select Manage Workspace. Click on the Templates tab.
- Click New Templates.
- Select from one of the readily available templates, or select the blank option to customize your own. Click Use Template after your selection.
Tip: Don’t know where to start? Select one of the available templates to customize to your liking.

Begin customizing the template. Once you’re finished, click Publish in the upper right corner.

The template has been created and is available for all Workspace members.

In the conversation, select the template from the drop-down.
Created by column will indicate the last user that edited the template.
Create a personal meeting template
You can create a template for your own personal use. Templates created at the account level are not shareable nor can be used by any other members in your Workspace.

Click on your profile and select Account Settings. Click on the My Templates tab.

Click New Template.

Select from one of the readily available templates, or select the blank option to customize your own. Click Use Template after your selection.

Begin customizing the template. Once you’re finished, click Publish in the upper right corner.

The template is now available to use for your conversations or shared conversations.
Apply your template
In your conversation, click the Template drop-down and select a Workspace template or a personal template. Each time you select a template, the conversation will refresh and apply the template. Content is regenerated every time you select a template.
Managing templates
Access templates from the conversation page
Access your Workspace or personal template settings, or create new templates anytime from the templates drop-down menu on the conversation page. Hover next to the template type and select the option.
Update your template
Update your template and sections anytime. Once you finish updating, make sure you click the Update button at the top of the template.
Turn template items on and off
Toggle template items on and off anytime. Only the templates toggled on will reflect in the conversation.
Reorder
Click and drag the template items to reorder.
Duplicate or Delete a template
- Duplicate a conversation to customize or change the template.
- Delete a conversation anytime.
- A conversation that previously had the template applied will still show the generated content and template title after deletion.
- If the template is changed, the deleted template will no longer be available.
Click on the 3 dots next to your template to duplicate or delete for both Workspace or personal templates.
FAQs
Can I share my personal templates?
- No.
- Templates cannot be shared at this time.
- However, if you apply a personal template to a shared conversation, all members of the conversation will be able to view the applied personal template and content generated.
Can I apply my personal template to shared conversations?
- Yes.
- You can apply your personal template to a shared conversation. All members of the conversation will be able to view the applied personal template and content generated.
- If someone else changes the template, you will need to reapply your personal template to your conversation for other shared members to view.
Can I edit the default templates provided by Otter?

You can edit the default templates: General and Sales.

If you delete the templates, they will revert back to the presets provided by Otter.
If I update my template, does it automatically regenerate the content in the conversation?
- No.
- Even if a conversation has the template already applied, you will need to click on the template again to regenerate if you have made updates to the template.
If I apply a new template, what happens to the content previously generated by other templates?
- If you apply a new template, it will regenerate new content in the summary tab.
- All previously generated content is not saved when you apply a new template. Even if you apply the same template from before, it will regenerate the content as new.
- While the output generated will generally be the same when you apply the template again, it will regenerate each time you select a template.
- We recommend saving any content if needed before changing templates.
Can I add more than one Custom Prompt?

At this time, only one Custom Prompt is available to be added to the template.

Can I add, edit, or update Meeting Templates on the mobile app?
- No.
- Meeting Templates are not yet available for the mobile app. Please use a desktop browser to manage your templates.
Can I set a default template for all conversations?
- No.
- However, you can use Rules to customize when a template will apply to a conversation.
As an admin of a Workspace, can I manage the personal templates that my members create?
- No.
- Personal templates can only be managed by the user in Account Settings > My Templates.
- However, if the user applies their personal template to a shared conversation, all shared users will be able to view the Meeting Template title and content generated.
- Admins can view all Workspace templates created by other admins in Workspace > Templates.
