Connect the HubSpot Integration
Connect HubSpot with Otter.ai to automatically sync meeting conversations, AI insights, and customer context with your HubSpot CRM. The Otter.ai HubSpot integration helps teams keep Contacts and Deals meeting notes up to date so sales and customer teams always have the latest conversation insights in one place.

Once connected, Otter will automatically sync conversations to HubSpot if:
- The conversations are recorded from a calendar event*
- The calendar event has an external guest (i.e., guests outside your Otter workspace domain)
- The contact exists in HubSpot
*Conversations can be recorded with Notetaker (recommended) or by manually starting a recording and selecting the calendar event.

⚙️ Connect HubSpot to Otter
Connect your HubSpot account to start syncing your conversations. Completing these steps will only sync your account and Otter conversations to HubSpot.

Click Integrations, then click Add next to HubSpot.

Sign in to your HubSpot account, select your account, and click Choose Account to continue.

Review the pop-up and click Connect app to proceed.

HubSpot is now connected to your Otter account.

Search for Otter conversations Easily find Otter conversations in HubSpot
Using HubSpot global search, you can easily find the Otter conversation linked to the meeting, contact, and opportunity. Type your meeting keywords into the search bar, then click the desired result to view the Otter insights and conversation URL.

The Otter conversation is available on both the Contacts and Deals pages.
Required permissions & shared data Learn more about the required permissions to connect
Otter requires certain permissions to connect to HubSpot, and the following data will be synced between the two platforms. Learn more about the permissions and shared data in the HubSpot marketplace.
You can disconnect your account at any time in Account Settings → Integrations → HubSpot on Otter's side, or remove the integration through your HubSpot account.
Uninstalling HubSpot You can uninstall HubSpot anytime
You can uninstall Otter.ai from your HubSpot account at any time. Uninstalling or disconnecting will not affect your existing Otter account or data—only new Otter meeting data will stop syncing to HubSpot.
Disconnect on Otter's side
Follow the steps below to disconnect your HubSpot account from Otter.

Sign in to your Otter account. Click on Integrations. Click Disconnect next to HubSpot.

Review the pop-up and click Yes, disconnect to confirm.

FAQs
What happens to my data when I uninstall or disconnect HubSpot from Otter?
If you uninstall the HubSpot integration or disconnect your HubSpot account from Otter.ai, all previously synced meeting data will remain in both your HubSpot and Otter accounts. Existing notes, insights, Contacts, Companies, and related CRM records will not be deleted.
New Otter meeting data will no longer sync to HubSpot. You will need to reconnect your HubSpot account to resume syncing meeting data.
Why didn’t my meeting conversation sync to HubSpot?
For a meeting conversation to sync from Otter.ai to HubSpot, the meeting must be associated with a calendar event that includes at least one external guest.
Otter.ai uses meeting participants’ email addresses to determine whether a meeting qualifies for syncing. If at least one participant has an email address outside your company’s domain, the meeting is considered eligible to sync to HubSpot. Only eligible calendar-based meetings will sync to HubSpot automatically.
Auto-joined meetings (e.g., “Meetings where I am the host”) — Meetings will be automatically recorded and evaluated to determine whether they are eligible.
Manually joined meetings (e.g., “Meetings I manually select”) — Users must select the associated calendar event when starting a recording to ensure the meeting is evaluated correctly.
How do I sync manually recorded meetings to HubSpot?
To sync a manually recorded meeting to HubSpot, you must select the associated calendar event when starting the recording in Otter.ai. This ensures the meeting can be evaluated correctly for syncing eligibility.
- Click Record in Otter.ai.
- Select the associated calendar event before starting the recording.

Why don’t I see the option to connect my HubSpot account?
If you do not see the option to connect your HubSpot account in Otter.ai, it is usually due to one of the following reasons:

Your workspace reached the maximum number of HubSpot connections allowed for your plan.
The limit on the number of HubSpot accounts that can be connected within a workspace varies by the Otter plan. Once the limit is reached, additional members will not see the option to connect their accounts. For more information about HubSpot connection limits and plan availability, view our pricing page. -
Your workspace is on Enterprise, and the admin has already connected HubSpot for the entire workspace. When HubSpot is connected at the workspace level, individual members cannot connect their own HubSpot accounts. Contact your workspace admin if you need changes made to the integration. This only applies to Enterprise workspaces.
