You can import recordings automatically from other third-party platforms into Otter to be transcribed and summarized using our integration with Zapier. This guide will go over a general setup of creating a Zap between Otter and the third-party platform; however, there are a variety of workflows and setups you can create. This guide outlines some of the available options, but it is not exhaustive. Learn more about Otter's integration with Zapier.
- Sign in to Zapier.
- Create a new Zap.

Select the trigger from the third-party platform you want to pull the recording from.
Note: This guide uses Google Drive as an example for the third-party platform; however, the steps for other platforms should be similar. Please refer to the third-party platform's documentation for any questions you have regarding their Zapier configurations. - Connect and set up the third-party platform. For the trigger, select the option most related to when a new file is detected or created. This may vary per platform.
- Configure your third-party platform to where the file will be pulled from.
- Test the trigger. The file should pull from your selected platform.
- For the Action, search and select Otter.ai.
- Next, create the API key in Otter. Sign in to Otter. Click Integrations in the left navigation menu. Click API Key next to Zapier to generate the key.

Save and Copy the API key.
Note: Make sure you save the API key and note it down, as it will not be shown again after this pop-up. You will have to regenerate the API key if you lose it and set up your Zaps again. - In Zapier, click Sign In and paste the API key in the pop-up. Click Yes, Continue to Otter.ai to complete the connection.
- Select Import New Recordings Into Otter for the Action event field.
- Configure the settings from the third-party platform. Ensure the settings are configured correctly to retrieve the file. We recommend using the title of the file for the name.

Test the Zap and click Publish when ready.
The Zap is published and will trigger every time a new file is detected on the third-party platform.
(e.g., every time a new file is added to Google Drive, the Zap will import that file to Otter)
FAQs
Why is my file not importing into Otter?
- Check that the file size does not exceed 5GB.
- Check that the file type is a supported format.
- On the third-party platform, ensure that the file has proper permission settings for access.
- If the file's location reflects a private link or special permission to view or access, it may not be retrievable through Zapier into Otter.
- We recommend grabbing the link to the file and testing it in a private/incognito browser window to see if it requires special permission to view or access.
- Adjust your permission settings or configurations on the third-party platform or through Zapier.
What files can I import into Otter?
- We support a wide range of file types, including audio and video, for seamless importing into Otter.

Where do I find the imported file on Otter's side?
- Imported files will show on the Otter homepage and in My Conversations.
How long does it take to import the file to Otter?
- Importing a file to Otter can vary and can depend on your third-party platform's service and Zapier's trigger of the Zap.
- Once a file has been successfully imported, Otter will begin processing, transcribing, and summarizing the conversation. This process can take up to the file's duration.
Is there a file size limit for importing?
- You can import files as long as they're less than 5GB in size, don't exceed your monthly limit, or exceed your recording limit per plan. If you're experiencing problems importing a large file, learn how to resolve errors that occur while importing.
