Set up Otter Live Notes

Automatic Live Transcript for Zoom Meetings & Webinars. Otter.ai Live Notes is an integration for Zoom meeting hosts to enable live transcription for all participants and live note-taking for collaborators. It opens as a web page you can put next to Zoom and you can also send the link to other devices to open.

Otter.ai Live Notes requires Zoom settings in both ADMIN and PERSONAL to be set up. If you are not the administrator of your Zoom account, send the instructions below to your administrator for them to complete.

How to pre-approve Otter in the Zoom Marketplace

1. Navigate to Otter.ai - Meeting Summary, AI Chat in the Zoom Marketplace.
2. Click Sign in to Add and sign into the admin account for your Zoom workspace.
   

   

3. Once signed in, click Add for others.
   
4. Review the permissions and settings for the Zoom connection.
   
5. If you have multiple members under your Zoom account, we recommend selecting All Users. Click Allow to add Otter to your Zoom account. 
   
6. Zoom is now available for users to connect to their Otter account.
   

Enable live streaming in Zoom (Admin settings)

1. Log in to the Zoom web portal. 
2. Under Admin on the left navigation menu, expand Account Management.
   
   Note: If you do not see the admin section on the left, you may not be an administrator of your account. Please contact your administrator to complete these steps.
3. Click Account Settings.
   
4. Click the Meeting tab at the top next to Recording. 
5. In the menu navigation, click In Meeting (Advanced).
   
6. Scroll down to the Allow live streaming of meetings section.
   
7. Toggle on the Allow live streaming of meetings setting. 
   
8. Select the checkbox for Custom Live Streaming Service. 
9. (optional) Type ‘Managed by Otter.ai’ for the host instructions.

The steps for the administrator of Zoom are now complete. 

Zoom Host User (Step B)

Each user who wants Live Notes during their meetings will need to enable the settings below for their Personal settings on Zoom’s side. 

Enable live streaming in Zoom (Personal settings)

1. Log in to the Zoom web portal. 
2. Under Personal on the left navigation menu, click Settings.
   
3. Click the Meeting tab at the top next to Recording. 
4. In the menu navigation, click In Meeting (Advanced).
   
5. Scroll down to the Allow live streaming of meetings section.
6. Toggle on the Allow live streaming of meetings setting.
   
7. Select the checkbox for Custom Live Streaming Service.
8. (Optional) Type ‘Managed by Otter.ai’ for the host instructions.
   
   

The steps for the host user of Zoom are now complete.

Connect your Otter account to Zoom

With all of the Zoom steps completed, you can now connect your Otter account and use Live Notes to capture all your meeting conversations.

1. Sign in to Otter.ai.
2. On the left navigation menu, click Apps.
   
   
3. Click Add next to Zoom.
   
   
4. Sign in to your Zoom account (if not already logged in) and click Allow at the bottom to authorize the connection between your Otter and Zoom account.
   
   
5. Your Zoom account is now connected. Toggle More Zoom integrations ON.
   
6. Select the Otter Live Notes on the right side by clicking the radio button. 
   
7. If you have already set up the Zoom Administrator and Zoom Host User steps, you can begin to use Otter Live Notes for all meetings that you host.

Starting a Zoom meeting

Now that you have Live Notes enabled, whenever you start a Zoom meeting that you are hosting, Otter will immediately start recording your meeting and transcribing it in real-time. Click OK once the live streaming begins.

You'll see the Custom Live Streaming Service with a link to the Otter conversation.
