Otter requires the following permissions for users to connect their Microsoft Outlook account to Otter.
- Sign in and read user profile
- Read user calendars

Give calendar permissions to Otter while maintaining control over user connections
Follow these steps to provide admin consent for the specific permissions needed to allow users to connect their Microsoft Outlook calendar while maintaining control over user access. If you have previously set up Otter, but are running into issues, we recommend starting over to ensure permissions are set correctly, as the Grant admin consent to Otter.ai does not provide all permissions that are required for the calendar connection, if they previously connected their account.

Step 1: Enable user consent requests
Allow users to request consent for applications they are unable to consent for. This will allow the admin to provide consent for the application.
- Sign in to Microsoft Entra as an administrator.
- (optional) Navigate to Applications > Enterprise Applications > Consent and permissions > User consent settings. Select Do not allow user consent. This will allow the admin to have full control over who is able to connect to Otter.
- Navigate to Applications > Enterprise Applications > Consent and permissions > Admin consent settings. Ensure User can request admin consent to apps they are unable to consent to is toggled to Yes. This will send the needed request to the Entra administrator.
Step 2: Remove the current Otter app
Skip to Step 3 if you do not see the Otter app in your Enterprise applications.
- Navigate to Applications > Enterprise Applications.
- There may be multiple Otter applications, if you have set up SSO or staging applications. Click on the Otter application where Homepage URL is https://otter.ai. (if you do not see Otter, skip to step 3)
- Click on Properties > Delete.
- Confirm deletion.
Step 3: Have an Otter user attempt to connect their calendar to send request
Have a non-admin member of Otter attempt to connect their calendar. This will prompt an admin consent request, allowing the administrator on Entra’s side (regardless if they have an Otter account or not, to provide consent for the application).
- Sign in to Otter.ai.
- Navigate to Account Settings > Apps.
- Click Add next to Microsoft.
- Continue through the sign-in process. The pop-up will then require the user to request consent from the admin. Have the user type in a response and click Request Approval. This will send a request for the Entra administrator to approve and provide Otter with permission.
- A request will be sent to the Entra administrator.
Step 4: Have the Entra administrator provide calendar permissions for Otter
- As the Entra administrator, navigate to the Otter application > Admin consent requests > My Pending > Otter.
- Click on Review permissions and consent.
- Sign in as an Entra administrator. Click Accept.
- The correct permissions have been added, which can be viewed in Permissions.
Step 5: Add user/group restrictions
Requiring an assignment to the application will provide you full control over users who will be able to connect their calendars.
- In the Otter application within Entra, click on Properties.
- Toggle Assignment required as Yes.
- Click on Users and groups. Add your user/group to control who can connect their calendar to Otter.
Users not added to the Otter application
If a user has not been added to the Otter application Users and groups, they will not be able to connect their calendar to Otter. They will encounter an error directing them to reach out to the Entra administrator. This allows you to have full control over who is able to connect their Microsoft calendar to Otter.
Step 6: Users can connect their Microsoft calendar to Otter
The users added to the Otter application through Users and groups can now connect their calendar in Otter.
- Sign in to Otter.
- Navigate to Account Settings > Apps.
- Click Add next to Microsoft.
- Complete the steps to sign into the Microsoft account. Users will be able to successfully connect their account.
FAQs
Can I just click ‘Grant admin permissions’?
- No.
- Clicking Grant admin permissions will not provide all needed permissions.
Do we have full control over who is able to connect their Microsoft calendar to Otter?
- Yes.
- By providing admin consent and setting up the application to be a required assignment, you will be able to fully control who can connect their account to Otter.
- As long as they have been assigned to Users and groups, they will be able to connect their calendars.
