Otter workspace analytics gives admins insight into how their team uses Otter. View member activity, transcription minutes, conversations created, and other usage metrics to monitor adoption, analyze trends over time, and better understand workspace engagement.
Workspace Analytics Overview
- Click on your profile picture in the upper-left corner, then go to Manage Workspace → Analytics.
The Analytics page provides an overview of your workspace members and their activity in Otter. Use the selected date range to analyze member adoption, transcription usage, collaboration, and AI Chat activity over time.
Member information
- Name: The member’s full name.
- Email: The member’s email address.
- Status: Indicates whether the member currently has an active seat (license or trial) or is deactivated.
- Active Within: When the member was last active in the workspace.
- Join Date: The date the member joined the workspace.
Usage analytics
- Minutes Transcribed: Total transcription minutes.
- Conversations Created: Total conversations created.
- Average Minutes per Conversation: Average transcription length per conversation.
- Average Conversations / Month: Average number of conversations created each month.
- Average Minutes / Month: Average transcription minutes generated each month.
- AI Chats: Total number of AI Chat messages.
Collaboration Analytics
- Conversations Viewed: Number of conversations the member viewed.
- Conversations Shared by User: Number of conversations the member shared with others.
- Conversations Shared with User: Number of conversations shared with the member.
Click on any of the column headers to sort by that metric.
Filter by time
Filter the time by billing cycle or through a custom date range.
- Billing Cycle: Date range based on your billing period. Otter automatically generates these billing periods you can select from.
- Between: Select a custom date range for your report.
Deactivated user stats will appear in the report. View usage of past members based on the selected date range.
Export Analytics
Export your current workspace analytics report as a CSV file for further analysis, reporting, or record-keeping. The exported file includes the analytics displayed on the page and can be opened in spreadsheet applications such as Microsoft Excel, Google Sheets, or other compatible data analysis tools.

FAQs
Why did my numbers change?
Workspace Analytics updates based on the selected date range, billing cycle, and the members currently in your workspace. As you change filters or add, remove, activate, or deactivate members, your analytics and summary statistics may change.
What counts as a conversation?
A conversation is counted each time Otter successfully creates a transcript, regardless of how it was recorded or imported. This includes conversations created through the Otter mobile app, desktop app, web app, Otter Notetaker, integrations, and imported audio or video files.
Why are some analytics not updating for my selected date range?
Some analytics are available only for specific reporting periods. For example, Conversations Shared by User and Conversations Shared with User can be viewed only for 30-day, 60-day, or 90-day date ranges.
Select one of these supported date ranges to view changes in those metrics.
Can I export analytics for a specific date range?
Yes. Before exporting, select the desired billing cycle or custom date range. The exported CSV includes the analytics displayed for the currently selected reporting period.
Can I sort the analytics table by any column?
Yes. Click most column headers to sort the table in ascending or descending order, making it easier to compare members by different metrics.
Do AI Chat messages count as conversations?
No. AI Chat messages are tracked separately under the AI Chats metric and are not included in the Conversations Created total.
