The Otter.ai SharePoint integration automatically exports meeting transcripts, AI summaries, and metadata to Microsoft SharePoint, keeping your conversation records organized within your Microsoft 365 environment. This ensures your meeting insights are stored for easy access, collaboration, and secure document management.
SharePoint Setup
Follow the two steps below to connect Otter to your Microsoft SharePoint site.
Step 1: Set up Microsoft Entra App (Admin) Register the app to create the client ID and secret key
- Sign in to the Microsoft Entra admin center.
- Go to App registrations and click New registration.
- Fill out the following information and click Register.
- Name: Otter.ai OAuth Client
- Supported account types: Single tenant only - Otter.ai

- Go to Certificates & secrets and click New client secret.
- Add a description and set an expiration period. Click Add.

Once created, copy the client secret Value.
Note: Copy the client secret value immediately after creating it. This value is required for OAuth authentication and cannot be viewed again later. If you do not copy it, you will need to delete the client secret and create a new one. - Go to API permissions and click Add a permission.
- Find and select SharePoint.
- Make sure the following are selected below. Click Add permissions.
- Delegated permissions
- AllSites.Read

- Click Grant admin consent for <your Entra org name>.
- Carefully review the pop-up. Click Yes to confirm.

Go to the Overview page and copy the following value:
- Application (client) ID — This is the Client ID required for the integration setup on Otter’s side.
Now that you’ve completed the required steps in Microsoft Entra, proceed to Step 2 to complete the integration setup in Otter.
Step 2: Set up the Otter SharePoint Integration (Admin) Once you've completed Step 1, finish the setup on Otter's side
- Go to Integrations and click Add next to SharePoint.
- Complete the following fields, then click Sign in with Microsoft:
- Connection type: Cloud
- Authentication type: Authorization code grant
- Subdomain: Enter your SharePoint subdomain
- Client ID: Enter your Client ID
- Client Secret: Enter your Client Secret value

Site name: Enter your SharePoint site name
- Sign in with your Microsoft account. Once authentication is complete, the connection will display as Successful.
- Contact your Otter account manager and let them know you’ve completed the connection.
How the SharePoint Integration Works
Now that you’ve completed the setup, Otter conversations will be automatically exported to Microsoft SharePoint.
- Record a conversation.

The conversation will be exported to SharePoint one hour after the recording finishes processing. Otter will automatically create the required folder(s), and the subfolder.
- External Meetings – If the call includes at least one participant (i.e., anyone listed as a guest on the calendar invite) whose email domain is outside the Otter workspace, it will be saved in the “External Meetings” folder. Within that folder, the recording will be placed in a subfolder named after the external domain (e.g., mysampleorg.com).
- Internal Meetings – If all participants (everyone listed on the calendar invite) have emails associated with the workspace email domain, the conversation will be saved in the “Internal Meetings” folder. Within that folder, the recording will be placed in a subfolder named after the recording owner’s email.
Note: Please do not rename the folders. The automatically generated naming structure must remain unchanged for the export to work properly. For customization questions, please contact your Otter account manager. - The conversation will export as a TXT file.
FAQs
Is exporting immediate?
No. Otter exports conversations to Microsoft SharePoint one hour after the recording has finished processing.
You can continue editing the conversation and tagging speakers during that hour, and those updates will be included in the export.
Can I edit the conversation or tag speakers before it exports?
Yes. You can edit the conversation and tag speakers within the one-hour window before export. Any changes made during that time will be included in the version exported to SharePoint.
Can I customize the folder structure?
Yes. Workspace-specific customizations are supported. Please contact your Otter account manager to request changes to the default folder structure.
Can I rename the folders in SharePoint?
Please do not rename the folders. The automatically generated naming structure must remain unchanged for the export to work properly. For Workspace-specific customizations, please contact your Otter account manager.
Besides TXT, can I export to other formats?
TXT is the only supported file type at this time. For Workspace-specific customizations, please contact your Otter account manager.
