Block Transcript Display – Help Center

This capability allows enterprise organizations to restrict access to meeting transcripts at the workspace level, including preventing members from accessing the Transcript tab and blocking external participants from viewing transcripts for meetings created within the workspace. By limiting transcript visibility, organizations can reduce transcript exposure and align meeting data with their policies.

Getting Started: To enable this feature, have an admin contact your Otter account manager. This setting is enabled by Otter and is not configurable through the admin interface at this time.

Feature overview

When this feature is enabled for a workspace, the Transcript tab is hidden from all conversations associated with that workspace. The Transcript tab will not appear for:

Conversations you own within the workspace
Conversations shared with you from the workspace
Live recordings created in the workspace

Tip: The data associated with the elements listed above is hidden, not deleted. To manage data retention policies, have an admin contact your Otter account manager to discuss available options.

What users should expect to see

Blocking transcript display only applies to the workspace where the feature is enabled. Conversations shared from a different workspace are not affected unless the feature is also enabled in that workspace.

Note: If you have any questions about a specific scenario, have an admin contact your Otter account manager for further assistance.

During a live recording, the conversation owner, participants, and any public viewers will see either a blank screen or a message indicating that the meeting is being recorded. After the recording ends, the Summary tab will populate any relevant Overviews, Action Items, Outline, Insights, and more, depending on your template.

FAQs

Can I manage this setting in the UI as an admin?

No. This setting is not yet available in the UI. Please contact your Otter account manager to update this setting.

Are the transcripts deleted?

No. The transcript tab is just hidden. The conversation's transcript is not deleted.
If the setting is disabled, the transcript will show again.

Why are personal template options missing?

If Block Transcript Display is enabled, only workspace templates are allowed.
Personal templates will not be available for members and admins in the workspace.
- Personal templates will be hidden in the template drop-down menu.
- The templates page will be hidden in Account Settings.

Note: Workspace admins can still manage, create, and update templates for all members to use.

Is the transcript audio available?

If Block Transcript Display is enabled, the transcript audio will be hidden. Users will not be able to listen to the transcript audio.
Audio is not deleted, just hidden.

Tip: For managing audio retention policies, have an admin contact your Otter account manager.

Will I still see the Transcript tab if I am the conversation owner?

No. If Block Transcript Display is enabled, all Transcript tabs will be hidden in conversations within the workspace, including conversations you own.

Can I export the transcript?

No. If Block Transcript Display is enabled, the export option will not be available.

Will the Transcript tab show in shared conversations from a different workspace?

It will show if the workspace does not have this feature enabled. Blocking transcript display is scoped to the workspace in which it was enabled.

What does the Transcript tab look like normally?

During a recording, the conversation owner and participants can view the live transcript if the feature is not enabled.
Once the feature is enabled, the Transcript tab will be hidden.

Is the public link to view the live transcript blocked?

Yes. If Block Transcript Display is enabled, users will not be able to view the transcript via the link provided by Anyone with link sharing.

How does this affect Otter Chat?

When Block Transcript Display is enabled, Otter Chat cannot access transcript content.
Users will not be able to query direct transcript text, including quotes, snippets, or other transcript-based responses.
This includes chat requests added in templates for Custom Prompts.
