Block Otter Notetaker from joining meetings based on meeting title keywords – Help Center

Enterprise workspace admins can configure blocked keywords or phrases that prevent the Otter Notetaker from automatically joining meetings when the meeting title contains matching text. This is useful for private, confidential, or sensitive meetings where automatic transcription should be disabled.

For example, if your workspace uses the keyword DNR (do not record), any meeting with a title like Weekly Sync - DNR will automatically block Notetaker from joining.

Add blocked keywords at the workspace level (admins)

Note: This feature is not yet available in the Otter UI. To configure blocked keywords or phrases, please have a workspace admin contact Otter Support or your account manager.

Workspace admins can submit a support request to configure keywords or phrases that prevent the Notetaker from automatically joining meetings across the entire workspace.

Once configured, these keywords and phrases will apply to all workspace members and all meetings associated with the workspace.

If the keyword Private is added at the workspace level, Notetaker will not automatically join meetings with titles such as:

Private - Leadership Review
HR Discussion (Private)
Q4 Planning - private

Verify that the Notetaker will not join a meeting on the Meetings or Calendar tab. This behavior applies across the entire workspace, regardless of individual user auto-join settings.

FAQs

Are keywords case-sensitive?

No. Blocked keywords are not case-sensitive.

For example, if the keyword DNR is configured, Otter Notetaker will also be blocked from joining meetings with titles containing variations such as dnr, Dnr, or dNr.

Will this prevent Notetakers from other workspaces from joining?

No. Keyword filters only apply to members within your own Otter workspace.

If a meeting includes participants from another Otter workspace, their workspace’s Otter Notetaker settings may still allow a Notetaker to join the meeting.

Can I manually record a meeting that contains a blocked keyword?

Yes. Depending on your workspace settings, users may still be able to manually start a recording for meetings that contain a blocked keyword.

Admins: Enterprise workspace admins can block manual recording in a workspace. Contact your Otter account manager to get started.

What keywords can I add?

You can configure any keyword or phrase to prevent the Otter Notetaker from automatically joining meetings that match it in the meeting title.

Here are a few keyword examples if needed:

Private
Confidential
No Otter
Internal Only
Off Record
DNR (“Do Not Record”)

If the keyword Internal Only is added on the workspace level, Notetaker will not automatically join meetings with titles such as:

Internal Only - Leadership Sync
Customer Escalation Review (Internal only)
Hiring Discussion - internal only

Can I add multiple keywords?

Yes. You can configure multiple keywords or phrases to block the Otter Notetaker from automatically joining meetings.

For example, if Private and Confidential are configured at the workspace level, Otter Notetaker will not automatically join meetings with titles such as:

Private - Leadership Review
Q4 Planning (Confidential)
Confidential Customer Discussion
