You can turn off automatic sharing in Otter to prevent your meeting notes and conversations from being automatically shared with calendar event guests. By setting your default sharing preference to Don't share - keep meeting notes private, you can control who has access to your meeting notes and choose when to share conversations with others.
Turn off automatic sharing for meeting notes
To prevent meeting notes from being automatically shared with calendar event guests, update your default sharing preference in Otter. This setting applies to calendar event recordings created manually or through Otter Notetaker, unless you have customized the sharing settings for an individual event.
- On the Otter Home page, navigate to the Meetings tab panel and click AI Notetaker settings.
-
Under Share meeting notes with, select Don't share - keep meeting notes private.
- Your default automatic sharing preference is now set to Don't share - keep meeting notes private. Calendar event conversations will no longer be automatically shared with meeting guests unless an individual event has a customized sharing setting.
This setting applies to calendar events recorded manually or through Otter Notetaker.
Manage automatic sharing in Account Settings
You can also update your default automatic sharing preference directly from Account Settings → Meetings. Under Default audience for shared notes, select Don't share - keep meeting notes private.
Review individual calendar meetings
Updating your default automatic sharing preference affects calendar events that do not have individually customized sharing settings. If you previously changed the automatic sharing preference for a specific calendar event, that event will retain its existing setting until you update it manually.
Review your upcoming calendar events to ensure meeting notes are not automatically shared with guests.
- Go to the Otter Home page and open the Meetings tab panel.
- Select the calendar event you want to review to open its meeting settings.
-
Locate the event's automatic sharing preference and select Don't share - keep meeting notes private to prevent the conversation from being automatically shared with meeting guests.
- Repeat these steps for any other calendar events with previously customized sharing settings.
