In today's landscape, the success of a sales team hinges on its ability to adapt, collaborate, and continuously refine its strategies. One crucial element in achieving these goals is the establishment of a centralized location for sharing sales calls. A centralized Channel for sharing calls not only fosters seamless communication, but also empowers sales professionals to learn from each other's experiences, refine their pitches, and collectively drive revenue growth. Otter provides an easy way for team members to automatically share conversations to a central Channel.
Auto-share for a Channel overview
For members of a Channel that has the auto-share setting enabled, calendar recordings tagged with the 'Sales' label will automatically be shared with the Channel. Otter will automatically look for conversations with the following criteria and label them as a ‘Sales’ call. The following are the criteria for a conversation to be tagged as a 'Sales' call.
- Conversations recorded from a calendar event
- Calendar event has an external guest (i.e., guests outside your Otter Workspace domain)
Conversations can be recorded with OtterPilot (recommended) or by manually starting a recording and selecting the calendar event. Sales team members can follow along during the live recording or review the conversation post-meeting.
Enabling auto-share for a Channel
You have the option to create a new Channel with auto-share or enable an existing Channel for auto-share.
Create a new Channel for auto-share
- Click the plus button (+) on the left navigation bar next to Channels, or click into Channels and click New Channel in the upper corner.
- Name your Channel and invite your team members. Click Create when you’re finished.
Tip: You can invite multiple members by typing in their emails, separated by a comma or space. - In your new Channel, click on the gear icon in the upper corner to manage your Channel’s settings.
- In the pop-up, click on the 3 dots and select Enable auto-share.
- Toggle on Auto-share my external meetings to this channel.
- All members are now set to auto-share conversation recordings of a calendar event to the Channel.
Note: If you don’t see a checkmark next to each member, refresh the page.
Enable an existing Channel for auto-share
- Navigate to your existing Channel.
- Click on the gear icon in the upper corner to manage your Channel’s settings.
- In the pop-up, click on the 3 dots and select Enable auto-share.
- Toggle on Auto-share my external meetings to this channel.
- All members are now set to auto-share conversation recordings of a calendar event to the Channel.
Note: If you don’t see a checkmark next to each member, refresh the page.
Managing auto-share for individual members of the Channel
You can manage the individual setting for each member after toggling on the auto-share for the Channel.
- Hover over the member you want to manage the setting for and click the 3 dots on the right.
- Select Turn Off to auto-share to this channel.
- The setting for that member is now turned off.
- Repeat the steps for any other members who should not auto-share their external meetings to the Channel.
Managing your own setting
Users can manage their own individual settings for the Channel. Toggle off Auto-share my external meetings to this channel.
- Admins can manage both their own and other member’s settings.
- Members can manage only their own settings.
Members can leave a Channel if they no longer wish to be part of the Channel. Click the 3 dots and select Leave channel. Learn more about Channels.

Do all recorded conversations get shared with the channel?
- No.
