Before managing Insights and custom fields, ensure Salesforce is connected and configured for your workspace.

Once Salesforce has been set up for your workspace, follow the steps below to map your insights to your custom fields. The custom mapping(s) will apply to all future recordings.

Go to Integrations → Salesforce and click Manage.

Select a template, then map your Insights to the corresponding custom field in Salesforce.

Write behavior:
- Write if empty — Only syncs data if the Salesforce field is currently empty
- Overwrite — Syncs data and replaces any existing field content
- Append — Syncs data by adding new content to the existing field value
- Enable: Toggle ON or OFF the custom mapping
- Edit template: Customize your Otter meeting templates

Control each setting to apply it either to all workspace users or only to your admin account.
- All workspace users: Enabled for all workspace members
- Only me: Enabled only for the admin who connected and is managing the Salesforce connection

FAQs
Which Salesforce Opportunity or HubSpot Deal will Otter.ai Insights sync to?
Otter.ai syncs meeting Insights to the most recent Salesforce Opportunity or HubSpot Deal associated with a Contact from the meeting.
If the meeting participant does not exist as a Contact in your CRM, Otter.ai cannot map or sync the Insights to an Opportunity or Deal.
Why don’t I see the Manage option for my workspace?
To manage insights, mappings, and connection settings:
- Ensure you are signed in as both an Otter workspace admin and a Salesforce or HubSpot admin
- Verify that the CRM integration was installed and connected for the entire workspace, not just an individual account
- Review the Salesforce or HubSpot integration setup guide to confirm the workspace-level installation steps were completed
Can workspace members manage custom CRM field mappings?
No. Only workspace admins can manage custom field mappings for syncing Otter.ai Insights to Salesforce or HubSpot.
Workspace members can still manage and customize Insights by editing and updating Custom Meeting Templates.
Can I map insights to custom fields in Salesforce Contacts, Accounts, or Tasks?
No. Otter.ai Insights can currently only be mapped to custom fields in Salesforce Opportunities.
Support for additional Salesforce objects and custom field mappings may be added in the future.
Can I map insights to custom fields in HubSpot Contacts or Companies?
No. Otter.ai Insights can currently only be mapped to custom fields in HubSpot Deals.
Support for additional HubSpot objects and custom field mappings may be added in the future.
Is Enriched Otter AI Chat available for HubSpot?
No. Enriched AI Chat is currently only available for Salesforce.
Support for HubSpot may be added in future updates.
