Plan: Otter Workspaces is available for the Otter Basic, Pro, Business, and Enterprise plans. Certain Workspace features may be limited to Business and Enterprise.
Admin(s) can remove any user from the Workspace and revert them back to an individual Otter account. All conversations and account information will be preserved when being reverted back to an individual account.
- A prorated credit will be issued to the Workspace billing account, based on the remainder of the subscription period, for the user that was removed. This credit can be applied to additional seat licenses, renewals, or purchases. Learn more about how seats work.
- If the removed user previously had an active paid plan that has not yet expired, their subscription will revert to that plan. If not, the user’s subscription will be on the Basic plan.
Tip: Looking to keep the user in your Workspace? You can deactivate the user to prevent future logins, but keep the account data within the Workspace.
Follow these steps to remove a user from the Workspace:
- Sign in to Otter.ai as an admin.

Click on your Workspace and click Manage Workspace.
- Under the Members tab, click on the 3 dots next to the team member you want to remove from the Workspace. Select Revoke access to Workspace.

Select Remove account from Workspace. Carefully review the information on the pop-up. Click Revoke access to proceed with removing the member from your Workspace.
- The member is now removed from the Workspace.
What a removed user will see when logging in
A user recently removed from a Workspace will see a pop-up the next time they log in alerting them of the change. They will have the option to Contact Workspace Admin if they believe it’s a mistake or Upgrade to a paid plan to proceed with creating their own Workspace.
User will retain all of their data when being removed from a Workspace. Applicable limits will apply.
