Invite team members
Now that you've completed the basics of setting up your Workspace, it's time to bring your Workspace to life by inviting team members to join. While you can manually invite members to your Workspace, learn more about the different ways a member can join your Workspace.
- Click your Workspace under your name.
- Click Invite people to Workspace.
- Enter the email addresses of the people you want to invite. If you have a list of emails to add, paste them into the text box separated by a comma or space. Click 'Enter' or 'Return' to save.
- Click Send invite.
Note: Anyone can invite a new member. To restrict the invite function to only admins, contact support for assistance. - They will receive an email invitation to join the team. Once they click the link to join, they will sign in with an existing Otter account, or create a new account. The invite link does not expire.
Manage pending invitations
Admins can view and manage the pending invitations in the Workspace.
Resend
Send a new email invitation if the original email was not received or is lost.
- Navigate to Workspace > Manage Workspace > Members.
- Click Resend to send a new email invitation.
Note: If your invitee is not receiving the email, please have them check the junk/spam folder. Additionally, whitelist reply@otter.ai and no-reply@otter.ai to ensure future Otter emails are delivered to the Inbox.
Revoke invitation
Revoke an invitation to prevent an invited member from joining through the email link or the Workspace pop-up when signed in. Canceled invitations will not trigger any notifications.
- Navigate to Workspace > Manage Workspace > Members.
- Click the 3 dots and select Revoke invitation.
- On the pop-up, click Revoke to confirm.
Team members with an existing Otter account
Once a user accepts the invite, their account will be part of the Workspace. All existing conversations, share settings, and info will transfer over. Conversations will not be automatically shared to the Workspace, and will only be visible and accessible by the team member, unless previously shared.
If a team member has an active paid Pro subscription, the Pro subscription will immediately end. Any remaining credit on the Pro subscription will not be refunded automatically. Please contact support for assistance.
